Voting for a league in remote mode
Voting for a league works similarly to a contest, but with one key difference: results are managed by theme (one for each month or period), and awards are assigned based on the overall classification once all themes are finished.
Role: Juror
The juror accesses it from the Votes menu, selects the league, and will see the themes available for voting.
For each theme:
- Select the theme and click Vote
- Assign a numeric score to each photograph
- Click Vote to confirm
Themes can be voted on in any order. Once all have been voted on, the juror's process is finished.
🔒 Anonymity: while the league hasn't finished, the photo title and participant name are hidden and shown as "Photo N" / "Participant N". The Salon Chairman and association admins always see the full information.
If the league has jury groups configured, each juror only sees and can vote on the themes assigned to their own group; themes belonging to other groups won't appear in their list.
Role: Salon Chairman
The Salon Chairman accesses Votes, selects the league, and manages the closing process theme by theme. In each theme's results gallery, they can filter by City, Members (association members only), or Score range.
Reviewing and disqualifying photographs
While the league is not finished, the salon chairman and the association administrators can review the submitted photographs and disqualify any that do not comply with the rules. Select a theme and click Review photos: a gallery opens with the photographs in that theme, and you move between them with the arrows.
- Disqualify requires a mandatory reason, which is shown to the jury below the photograph so they know why it is no longer being scored.
- A disqualified photograph is dimmed and marked as Disqualified photograph; hovering over it reveals the original image, so the decision can be reviewed.
- Restore undoes the disqualification and brings back the scores the jury had already given it: there is no need to vote on it again.
- Disqualified photographs do not count as pending votes, so voting can be closed as usual.
ℹ️ The jury cannot disqualify: they score, but they do not decide which photographs compete. Review is always done on the selected theme, because the same photograph may be valid in one theme and not in another.
1. Refine votes (optional)
While a theme is still open (its submission deadline has passed but it hasn't been finalized yet), the Salon Chairman can click Refine votes on any photograph in that theme's results gallery to review each juror's score and correct a value if they spot an error.
2. Apply a cut per theme (optional)
Each theme has its own cut, independent of the rest, calculated on the sum of the scores from jurors who have already voted on each photo (not the average). Before finalizing the theme:
- Select the theme and click Apply cut (or Define cut)
- The system shows the Score distribution — how many photos fall at each value and the cumulative percentage
- Enter a target acceptance percentage to see the suggested cut and apply it with Use suggestion, or type the minimum score directly
- Confirm the cut
3. Finalize each theme
Themes are finalized independently, normally when each one's period ends (e.g. when January ends, the January theme is finalized; when February ends, the February theme is finalized, etc.):
- Select the theme
- Click End theme
- Confirm
Once a theme is finalized, its votes and cut can no longer be modified. Repeat the process for each theme. Only once all themes are finalized do the Assign awards and Close league buttons appear.
4. Reviewing results by theme
From each theme's view, the Salon Chairman can see how the classification for that specific theme turned out — who came first, second, etc. In the results gallery, each photograph can show these indicators next to its score:
- ⚪ Scissors — the photo doesn't pass the cut set for its theme
- 🟢 Check — the participant is an association member
5. Assign awards on the overall classification
As soon as all themes are finalized, the Assign awards button becomes available (there's no need to close the league first). League awards are assigned based on each participant's overall classification, not on each individual theme or a specific photo:
- Go to the All view — shows the overall classification adding up all themes
- Assign the award to each winner according to the final ranking
Awards can be freely reassigned until the winners are notified.
6. Close the league
Once all themes are finalized, click Close league and confirm. From this point on:
- The league moves to Finished status and all real information (participant names and photo titles) is revealed
- Assigned awards can still be corrected until the winners are notified
- Neither the votes nor the cut for any theme can be modified
7. Generate the minutes
Once the league is closed, the Generate minutes button becomes available. It produces an editable draft with the league's results, which can be exported to PDF, listing the awards per participant (not grouped by theme, since league awards apply to a participant's whole run rather than a specific photo). The minutes are written in the association's configured language, regardless of the language of whoever generates them.
8. Notify users
Once the league is closed and at least one award has been assigned, the Notify users button appears. It sends an email to participants and winners. It can only be clicked once — the notification cannot be resent.
