Viewing contest participants

View the full list of participants in a contest, choose which columns to show, sort by any of them and download the data as Excel or CSV.

Accessing the list

Go to My associations → ⚙️ gear icon → Contests and click the 📊 icon (Review contest) on the contest you want.

The statistics screen shows a summary with the contest status, the number of participants, the revenue and the categories, and below it a preview of the participants. Click See all, next to the Contest participants heading, to open the full list.

At the top of the screen, the breadcrumb shows the contest name followed by Contest participants. Click the contest name to go back to the statistics.

Choosing the columns

The list initially shows the participant's name, the registration date and the email address. Use the Columns dropdown to turn these on or off:

  • Name — first name, surname and profile picture
  • Registration — the date they entered the contest
  • Email
  • Phone
  • Country
  • City
  • Postal code
  • Address — postal address and, where given, floor or door
  • Date of birth
  • Language — the one the participant receives contest emails in
  • Submitted photos — how many they have uploaded to the contest
  • Categories — how many they are entered in
  • Associations — clubs they belong to
  • Paid — whether they have paid the entry fee
  • Amount — fee paid

When a participant has not filled in a field in their profile, the cell shows a dash.

The Submitted photos column highlights zero, which is the case worth spotting: someone registered who has not uploaded any photograph yet.

The Amount only appears on paid entries, and shows the contest entry fee. If the association changes the price, earlier entries show the new price; what each participant was actually charged is on their payment receipt.

Showing sponsor membership numbers

The Sponsors dropdown lists the accredited bodies that keep membership numbers:

All four are selected when you open the list: each one adds a column with the membership number each participant has registered with that body, and the columns always appear in that same order. Clear the ones you don't need to make the table shorter.

Each participant enters their own membership number in their profile, under memberships. If they have not entered it, the column shows a dash.

A contest can have other accredited sponsors that do not appear in this dropdown, such as FAFIBA: they sponsor the contest but do not keep membership numbers for entrants, so there is no column to show.

Sorting and searching

Click any column header to sort the list by it, and click again to reverse the order. Sorting applies to every participant in the contest, not just the ones on the page you are looking at.

When sorting by a membership number, participants without one registered are listed last.

The Search by name box filters by first name, surname, nickname or email address.

Downloading the list

The Export button offers two formats:

  • Download as Excel (XLSX)
  • Download as CSV

The file includes the columns you have visible at that moment, with the same search filter and the same sort order you see on screen.

Your settings are remembered

The columns you select are saved in your browser. When you come back to this list, whether in the same contest or any other one, you find the same columns.

The sponsors are not saved: every time you open the list, all four are selected. Neither are the search, the page and the sort order: you start with no filters, sorted by registration date with the most recent entries first.
